Your privacy, in plain English.
A wedding involves a lot of personal detail. Here is exactly what we collect, why, where it’s kept and what you can ask of us.

Who we are
Ever After Collective is a wedding film studio based in Perth, Western Australia (“we”, “us”). We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Whether or not the Act strictly applies to a business of our size, we choose to follow it.
Questions or requests about your information go to hello@everaftercollective.com.au.
What we collect
- When you enquire: your first names, email, mobile (if you give it), your wedding date (or a rough month if you haven’t set one), the region and venue, and, if you choose to share them, the collection you’re drawn to, a little about the two of you and how you found us. We also keep the campaign tags in the link you arrived on (for example
utm_source) and, if a couple we’ve filmed referred you with their link, a note of that referral. - When you book: the names and emails of the people signing your agreement, your payment schedule and payment records.
- When you sign online: to make your electronic signature valid and verifiable, we record your consent to sign electronically, a one-time code sent to your email, your signature, the time of each step, your IP address and your browser’s user agent, and a fingerprint (SHA-256 hash) of the document.
- While you plan: the answers you give in your planning portal, such as your story, music, the people who matter, vendor contacts, your timeline and locations. You choose what to share; only the essentials are required.
- On the day: film and audio of your wedding, which will include your guests.
- Payments: card payments are processed by Stripe. We never see or store your full card number.
We don’t ask for sensitive information (such as health or religious details) unless you choose to tell us something we need to know to film your day respectfully, such as a cultural custom or an accessibility need. We use it only for that.
Why we use it
- To reply to your enquiry, check our availability and send you our prices.
- To prepare your proposal and agreement, take payments and issue tax invoices.
- To plan and film your wedding, edit your films and deliver them to you.
- To coordinate with your venue, photographer or planner, when you ask us to.
- To send you the emails that belong to your booking, such as reminders, updates and your films. We don’t send marketing newsletters unless you ask for them.
Who we share it with
We never sell your information. We share it only with the people and services that help us do the job:
- Our crew (second filmmakers and editors), who see only what they need for your day, such as your timeline, locations and the names of people to film. They don’t receive your payment details.
- Service providers who host and process information for us: Notion (client records), Cloudflare R2 (secure file storage for agreements, invoices and films), Netlify (this website), Resend (email delivery), Stripe (card payments) and Vimeo or YouTube (if your films are streamed from there). When we draft replies or plans, we may use Anthropic’s AI service to help, and your enquiry text may be processed by it; we always read and send replies ourselves.
- Venues, when they ask who is filming, limited to what they need.
- Anyone the law requires us to share with.
Information stored overseas
Several of the services above store or process information outside Australia, mainly in the United States, and some may use data centres in other countries. We choose established providers with strong security practices and take reasonable steps to make sure they handle your information consistently with the APPs.
How we keep it safe
Our systems use multi-factor authentication and are limited to the people who need them. Links to your portal and signing page are private, random and stored only as one-way hashes. Signed agreements and their evidence are stored write-once, so they can’t be altered. Wedding footage is kept in three copies across two locations.
If there’s ever a data breach likely to cause you serious harm, we’ll tell you and the Office of the Australian Information Commissioner (OAIC) as the Notifiable Data Breaches scheme requires.
How long we keep it
- Enquiries that don’t go ahead: up to two years, then deleted.
- Agreements, signing evidence, invoices and payment records: at least seven years, because tax and contract law require us to keep them.
- Raw footage: six months after your films are delivered, unless you’ve purchased the hard drive with all your raw footage.
- Finished films: at least five years. Your online gallery stays live for 12 months, and download links for 60 days.
Your films, your guests and our portfolio
We only use your films in our portfolio or on social media if you say yes, which we ask separately and which you can change at any time. You can also ask us to wait until a certain date. If a guest asks not to be filmed, or you tell us someone shouldn’t appear, we honour that, and we take extra care with children.
This website
We don’t use advertising trackers or analytics cookies. The site uses your browser’s own storage to keep an unfinished enquiry on your device (so you don’t lose it) and to remember your portal link. You can clear these at any time in your browser settings. Fonts are loaded from Google Fonts, which means your browser makes a request to Google.
Seeing and correcting your information
You can ask to see the personal information we hold about you, or ask us to correct or delete it. Email us and we’ll respond within 30 days. Some records we must keep by law (such as invoices and signed agreements), and we’ll explain if that applies.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first and we’ll do our best to fix it within 30 days. If you’re still not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
If we change this policy, we’ll update the date at the top. Significant changes affecting booked couples will be emailed to you.
